Why fill out PDF forms on your phone?
Many forms still arrive as PDFs: registration and membership forms, school and daycare forms, insurance claims, applications, consent forms, tax and benefit forms. The classic way is to print them, fill them in with a pen, sign them and scan them again. Filling them out digitally skips the printer and the scanner and gives you a clean, readable result.
No printing, no scanning
The form stays digital from the moment you receive it to the moment you send it back.
Readable entries
Typed text is easy to read, so nobody has to guess at your handwriting or call back about a misread number.
Corrections without starting over
A typo is fixed in seconds instead of crossing it out or printing the form again.
Faster with every form
Your name, address and date of birth are the same on every form. Saved once, they are inserted with a tap.
Ready to send
The filled-in PDF can go straight back by email or through an upload portal.
How to fill out a PDF form – step by step
The exact names differ from app to app, but filling out a form on a phone usually works like this:
Get the form as a PDF
Save the PDF you received by email or downloaded from a website. If you only have a paper form, scan it to a PDF first.
Open it in an app that can fill out PDFs
Look for a function such as “Fill & sign”, “Fill in” or “Add text”. PDF editors and many document scanner apps include one.
Zoom in on the first field
Spread two fingers to enlarge the page. Small lines and boxes are much easier to hit when you zoom in.
Add your entries
Tap a field or insert a text box and type the entry. Apps with saved details let you insert your name or address with a single tap.
Tick checkboxes and add the date
Place a check mark in each box that applies and add today’s date where the form asks for it.
Sign where required
Many forms end with a signature line. Add your signature last, once everything else is filled in.
Save and check the result
Save the filled-in PDF, ideally as a copy, and open it once more to check that every entry sits on the right line of the right page.
For paper forms, scan the document to PDF first; a straight, evenly lit scan makes the lines easier to fill. If the form has several pages, scan them into one PDF so you fill out and send a single file.
Fillable PDF forms vs. flat and scanned forms
Not every PDF form is built the same way. Some contain interactive form fields that you can tap and type into. Others are “flat”: the lines and boxes are only part of the printed page, like on paper. Every scanned form is flat, because a scan is a picture of the page.
| Aspect | Fillable form with fields | Flat or scanned form |
|---|---|---|
| How you recognize it | Fields light up or show a cursor when you tap them | Tapping a line does nothing |
| How you fill it out | Type into the fields | Place text boxes on the lines |
| Checkboxes | Tap to tick | Place a check mark on the box |
| Typical source | Authorities, banks, insurers | Scans of paper forms, exported or printed PDFs |
Placing text on the page works for both kinds, so it is the most flexible method: whatever the form looks like, your entries end up exactly where you put them. For flat forms, it is the only way to fill them out without printing.
Fill out forms faster with saved personal details
Most forms ask for the same information: name, birth name, date and place of birth, nationality, address, phone number and email. Typing it on a phone keyboard every time is slow and invites typos. Saving these details once and inserting them as needed makes each new form a matter of minutes.
It helps even more when you fill out forms for others. Parents fill in school and doctor forms for their children, partners fill in applications for each other, and adult children often help their parents with paperwork. A separate set of details for each person keeps the right name with the right date of birth.
- Single details – first name, last name or date of birth on their own, for forms with separate boxes
- Combined entries – “First + last name” or “Address in one line” for forms with a single line
- Your own fields – anything else you need often, such as a health insurance or membership number
Checkboxes, dates and signatures
Checkboxes
On a flat form, a check mark is a small mark you place on the box. Zoom in so it sits inside the box and not on the text next to it, and use one size for all boxes so the form looks tidy.
Dates
Forms usually expect the date in the local format, for example 10/28/2026 in the US or 28.10.2026 in Germany. Apps that insert today’s date for you save typing and avoid mixing up day and month.
Signature
Many forms must be signed. A handwritten signature drawn with your finger and placed on the signature line is accepted for many everyday forms; some documents require a different form of signature. The guide to signing PDF documents explains the options and when a simple signature isn’t enough.
Forms contain personal data – keep them private
Few documents contain as much personal information as a filled-in form: full name, date of birth, address, sometimes health, income or bank details, and often the same for family members. Many online PDF form fillers upload the document to their servers to process it. For forms like these, it is worth choosing an app that fills them out on your device.
The same applies to saved details: they should stay on your phone, not in an account on someone else’s server. The guide to scanning documents offline explains what local processing protects and what it doesn’t.
Common problems when filling out PDF forms
Most problems with digital forms are quick to fix:
Text doesn’t sit on the line
Zoom in and drag the text until its baseline sits on the line. Apps that snap text onto the line of neighboring entries keep a column of fields aligned.
Text too large for the box
Make the text smaller, or use separate entries for first and last name if the line is short.
Fields don’t react when tapped
The form is flat or scanned and has no interactive fields. Place text boxes on the lines instead.
PDF is password-protected
Protected PDFs often can’t be changed. Open the file with the password and remove the protection if you are allowed to, then fill it out.
Scanned form is hard to read
Scan it again with good light and a filter for documents. Clear lines make it easier to place entries precisely.
A mistake after saving
Entries are fixed once saved into the page. Save as a copy so you can go back to the empty original and fill it out again.

Fill out PDF forms with PDFDocify
PDFDocify, the offline-first document scanner and PDF app from SlickLab, has a “Fill & sign” tool in the Tools tab and in each document’s menu. It works on scanned and imported PDFs alike: an action bar with Details · Text · Date · Check · Sign covers everything a form asks for. Under “My details” (also in Settings → Forms) you save details for yourself and your family, such as Me, Partner, Mother, Father, Son, Daughter, Sister, Brother or Other with your own name for the relationship. Each person has first and last name, birth name, date and place of birth, nationality, street, house number, postcode, city, phone and e-mail, plus fields you add yourself. In the form, you tap a detail or a combined entry such as “First + last name” or “Address in one line” and it lands on the page. You drag it onto the line, resize it and switch between black and blue; text you drag near another entry snaps onto its line. Date inserts today’s date in the usual format of your language, Check places check marks in boxes, and Sign adds your handwritten signature. Pinch to zoom in on small fields. When you are done, choose “Save as copy” or “Replace original”: your entries become a fixed part of the page. PDFDocify places the text on the page itself and doesn’t fill interactive form fields as fields. Fill & sign is part of PDFDocify Premium; your first two filled-in forms can be saved for free.

Frequently asked questions
How can I fill out a PDF form without printing it?
Open the PDF in an app that can add text to PDFs, place your entries on the lines, tick the boxes, add the date and your signature, and save the file. You can then send the filled-in PDF straight back by email or upload.
Can I fill out a PDF form that has no fillable fields?
Yes. On flat or scanned forms you place text boxes on the lines yourself. This works for any PDF, because the text is added to the page rather than into a form field.
Can I fill out a scanned paper form?
Yes. Scan the form to a PDF, then place your entries, check marks and signature on the page just like on any other flat form. A sharp, straight scan makes it easier to hit the lines.
How do I tick a checkbox in a PDF?
In a fillable form, tap the box. In a flat or scanned form, place a check mark on the box and zoom in to position it precisely.
Can I save my details for future forms?
With apps that support saved details, yes. You enter your name, address and date of birth once and insert them into each new form with a tap. In PDFDocify, you can save details for family members too, and they stay on your device.
Can I sign the form in the same step?
Many apps that fill out forms can also add a handwritten signature. Sign last, after all other entries are in place. Whether a drawn signature is sufficient depends on the form; the guide to signing PDFs explains when it is not.
Conclusion
Filling out a PDF form on your phone takes only a few steps: open the form, place your entries, tick the boxes, add the date, sign and save. Placing text on the page works for fillable, flat and scanned forms alike, and saved details make every further form faster. If you want an app that scans, fills out and signs your forms by hand, offline and without uploads, take a look at PDFDocify.
